What equipment will be used in the Preliminary Rounds?

Preliminary Rounds will take place during the morning in closed sessions at the Eller College of Management. Participants must provide their own hardware and software to be used during these rounds. Participants must be able to set up and troubleshoot their own equipment.

Can I use my Mac?

You may use your personal Mac during the preliminary rounds, but be aware that the final round will be done on PCs provided by the University of Arizona in the Esports Arena.

Can the MECC provide me equipment such as an additional monitor or other hardware to be used during the Preliminary Rounds?

The MECC will not provide additional equipment during the Preliminary Rounds.

Can I bring an additional equipment such as an additional monitor for the Preliminary Rounds?

Yes, you are able to bring whatever hardware you would like to use during the Preliminary Rounds. Note that you must be able to transport, set up, and troubleshoot your own hardware.

What hardware will I be using during the Final Round?

Students who make it to the Finals will be required to use the PCs provided at the Esports Arena.

Individual Finalists are provided hotel nights on December 1 and December 2. Individual Finalists who are traveling from outside the US can request an additional night on November 30. Approval will be based on available flights. These nights will be reserved for you by the MECC at the Tucson Marriott University Park.

Any additional nights outside of the provided nights will be at the cost of the Individual Finalist.

If you are eligible and are approved for flight reimbursement to the MECC Finals, additional steps are required to be eligible to be reimbursed. You will be required to provide your flight receipts that will need to include your name, itinerary, and show that the tickets have already been paid for. Please review all FAQs to ensure you meet the requirements for flight reimbursement and to see if you will be required to provide additional airline quotes. 

Students who qualify for cash prizes will be required to provide the same documentation and will not have to repeat these steps if they have already provided the required documentation for flight reimbursement.

If you are a US Citizen or Permanent Resident, you will be required to complete a University of Arizona Vendor Information Form.

If you are a non-US Citizen on an F1 Visa, you will be required to complete University of Arizona Vendor Information Form and provide additional documentation that must be valid and have not expired on or before December 2, 2023:

• copy of I-94 with visa type F-1
• copy of Passport
• copy of Visa with F-1
• copy of Form I-20
• copy of SSN or ITIN card

If you are a non-US Citizen on a Tourist Visa, you will be required to complete University of Arizona Vendor Information Form and provide additional documentation that must be valid and have not expired on or before December 2, 2023:

• copy of I-94 with visa type B-2,
• copy of Passport,
• copy of Visa for B-2,
• copy of travel documents to substantiate length of stay, and
• a signed Honorarium Statement is required

Yes, you may still qualify for reimbursement. To qualify, you will need to provide extra documentation.  Without this documentation, reimbursement may be denied. Please find the requirements below:

1. Include the original receipt for your flight which includes the additional personal days.
2. Provide TWO cost comparisons at the time of booking your flight that will only include the days of travel and that are from your original departure airport and arrive in Tucson, AZ (for example, a quote for a flight that will allow you to arrive on December 1 and leave on December 3)
3. Submit the two dated cost comparisons with your receipt for your booked flights after the Finals.  Information for this process will be provided closer to the Finals to attendees who qualify for reimbursement.
4. The University of Arizona will reimburse you the amount lesser between the actual flight and the cost comparisons.

Individual Finalists will be required to complete the necessary reimbursement paperwork by January 31, 2024 in order to be eligible for reimbursement. Individual Finalists who do not meet the deadline risk losing the ability to be reimbursed for airfare.

Yes, you are able bring one guest that can stay with you in your provided hotel room at no additional fee. If you register your guest with the MECC before traveling for the Finals, your guest can also be provided breakfast and lunch on the day of competition, December 2. There will be a fee if they would like to attend the Awards Ceremony and Dinner on December 2. The fee will be announced closer to the date.

No, we are only able to reimburse eligible flight costs of only the Individual Finalist regardless if the combined total is under the reimbursement limits.

Yes, you may still qualify for reimbursement.  Additional documentation will be required to qualify. Without this documentation, reimbursement may be denied. Please find the requirements below:

1. Include the original receipt for your flight that includes the upgraded seating.  
2. If the upgrade is itemized on your receipt, this will be the only receipt required.
3. If the receipt does not include itemization for the upgrade, you will need to  provide TWO cost comparisons at the time of booking your flight that are economy class.
4. Submit the two cost comparisons with your receipt for your booked flight. 
5. Information for this process will be provided closer to the Finals to attendees who qualify for reimbursement.
6. The University of Arizona will reimburse you the amount lesser between the actual flight and the cost comparisons.

Note: If you require an upgrade to accommodate a disability, please note that when you submit your required documents. 

Individual Finalists will be required to complete the necessary reimbursement paperwork by January 31, 2024 in order to be eligible for reimbursement. Individual Finalists who do not meet the deadline risk losing the ability to be reimbursed for airfare.

Yes, you may use frequent flier miles to purchase or offset some of the cost of your flight.  However, the University of Arizona will only be able to reimburse the amount PAID for the flight.  We are unable to reimburse frequent flier miles or other rewards.

Yes, you may still qualify for reimbursement if you are driving directly from your documented location to the University of Arizona. Additional documentation will be required to qualify. Without this documentation, reimbursement may be denied.

If you are the owner of the car:

1. You may request mileage from your home or place of work directly to the University of Arizona.  Please provide a map with the most direct route highlighted to be considered for mileage.
2. If you are more than 100 miles from the University of Arizona, please also provide TWO comparison quotes for airfare.  The University of Arizona will reimburse you the amount lesser between the mileage and the cost comparisons.

If you are not the owner of the car:

1. We cannot provide mileage for rental or borrowed vehicles. You may collect and submit gas receipts.  
2. The rental costs for vehicles will not be covered.
3. If you are more than 100 miles from the University of Arizona, please also provide TWO comparison quotes for airfare.  The University of Arizona will reimburse you the amount lesser between the mileage and the cost comparisons.

Mileage is reimbursed using the current University of Arizona state mileage rate.

No.  We are only able to reimburse qualified airfare or qualified mileage (please see above for details).

If you qualify for a cash prize at the MECC Finals, additional steps are required to be eligible to claim your cash prize. Information will be provided to the winners on how to submit required documents after the Finals. Students who qualify to have their flights reimbursed will be required to provide the same documentation and will not have to repeat these steps if they have already provided the required documentation for flight reimbursement.
